Updating your card and reading your invoice

What the Billing tab shows, where your invoice comes from, how to reconcile it against your usage report, and how to change the card on file safely.

The Billing tab

There is a Billing tab in the left sidebar. It's a usage page rather than a full billing centre, so it's worth knowing what it does and doesn't cover — that way you're not hunting for something that isn't there.

  • It shows your breakdowns used and remaining for the current period, your billing period start and end dates, your account's own rate for breakdowns beyond your allotment, and a Download Period Report button that gives you the usage detail behind your bill. Arrows let you page back through previous periods.

  • It does not show your invoices, your receipts, or the card on file. There's no invoice list to download from, and no way to update your card there.

Your invoice

Invoices are emailed automatically, once per billing period, to the billing email on your account. That's normally whichever address was used when the account was first set up — which is often not the person who handles the bills, so it's worth checking who's actually receiving them.

The dates on the invoice are your billing period, and they run on your own subscription cycle rather than the calendar month. If your account started on the 14th, your invoice runs the 14th to the 14th. Those same dates show on the Billing page, so the two should always match.

Your invoice is finalised at the end of your billing period. Anything your team submits before that moment lands in the period that's closing, not the new one. So if someone sends a batch of breakdowns on the morning your period rolls over, expect them on the invoice you're about to receive.

Reading your invoice against your usage

If something doesn't look right, work through it in this order:

  1. Check whether any were priority. Priority breakdowns count as two against your allotment. This is the most common reason usage looks higher than an office expected.

  2. Don't count Action Required breakdowns. If a breakdown came back needing information from you, you fix it and resubmit, and you aren't charged for that resubmission.

  3. Download the period report from the Billing page. That report is the detail your invoice is based on, so if the on-screen count and the report disagree, the report is the one to trust.

  4. Check for credits. A credit doesn't reduce your usage count — it lands as an applied credit on your next billing date. So a credit you were expecting may show on the following invoice rather than this one.

  5. Message support with your office name and what you're seeing. We'll go through your usage with you.

Not receiving your invoices?

Check your spam folder first — that's usually the answer. If they're not there, message support. We can resend any invoice or receipt you're missing, including past ones, and we can change which email address they go to. Just tell us the period you need and the address to use.

Updating your card

You can't change the card yourself once your account is set up. Message support and we'll update it for you.

Ask us to call you instead and we'll take the details over the phone. Support is happy to call — leave your office name and a number and we'll get in touch.

When you do change cards, say clearly whether the new card should replace the old one or sit alongside it, and confirm which one you want used by default. Offices sometimes end up with two cards on file and no clear default. If you want an old card removed, ask us to remove it and we'll confirm when it's gone.

Multiple locations

If your locations are billed together, the Billing page shows their combined usage rather than just the office you're logged into. If you need it split by location, ask support and we'll pull it for you.

Questions about cost

For anything to do with pricing, plans, rates, or what you've been charged, message support rather than relying on a figure quoted elsewhere. Those questions are best answered by someone who can see your actual account.

Support is available Monday through Friday, 8 AM to 5 PM Mountain Time. Always include your office name in your first message — billing questions arrive in the chat without telling us which practice they're from, and that's usually what slows things down.
