Connecting EagleSoft to Stratus lets us pull your patients, their insurance and your schedule automatically, so your team stops retyping the same information twice. This article covers the setup, what syncs, and — just as important — the few things EagleSoft doesn't hand over, so nothing catches you by surprise.
Before you start
Do the setup on the computer or server that runs EagleSoft. If you click the link on a front desk laptop that isn't the EagleSoft server, the connection won't complete. Have someone nearby who can approve a Windows permission prompt on that machine.
How to connect
Copy the installation link we send you and paste it into a browser on the server running EagleSoft.
On that page, click Connect and follow the prompts to download the sync app.
Wait for the download to finish. The installer window should open on its own. If it doesn't, open your Downloads folder and double-click the file you just downloaded.
The installer runs by itself. When it's done it will ask you to click Close. Close it.
Go back to the browser page you left open. It will now let you approve access for Stratus.
If Windows shows an extra prompt asking permission for Stratus, click Allow.
Keep the browser page open — it advances by itself once the connection comes through. If nothing happens more than 20 minutes after the install finished, email [email protected].
What about security?
We never receive a database username or password.
The connection is outbound only — no firewall ports to open, no VPN, no static IP address.
Nothing needs to be exposed to the internet.
How often does it sync?
During the business day, changes you make in EagleSoft show up in Stratus within about five minutes. Syncing pauses overnight and resumes the next day, and once a day we run a full refresh of your patient roster to catch anything that changed in between.
What EagleSoft does not send us
This is the part worth reading. EagleSoft holds some information in ways we can't reliably read, so a few things simply won't appear in Stratus even though they exist in your system. None of these break verification on their own, but your team should know to expect them.
The patient's relationship to the subscriber (self, spouse, child) does not come across. Plan on confirming this yourself when it matters.
Insurance effective and expiration dates are typically not populated from EagleSoft.
Your office's homework
Stratus can only verify a patient if EagleSoft has enough information to identify them to the carrier. Make sure these are filled in:
Policy / member number on the insurance plan
Carrier on the insurance plan
Patient date of birth
Subscriber date of birth — easy to miss when the patient is a child or spouse
Practice Tax ID
Provider NPI — see below, this one is strict
On EagleSoft, a provider's NPI comes from the provider's national ID field. If that field is empty or has an invalid value, that provider is skipped entirely — every patient scheduled with them is left unverified. It's worth walking your provider list once and confirming each one has a valid NPI in that field.
More broadly: if a patient is missing any of the fields above, automatic verification quietly skips that patient. There's no warning on screen. So when a patient you expected to be verified wasn't, this list is the first place to check.

Writing results back into EagleSoft
Writeback lets Stratus push verified information back into your practice management system so your team doesn't have to key it in from the breakdown.
On EagleSoft, writeback is limited to coverage categories. We want to be straight with you about that. Unlike OpenDental, EagleSoft writeback does not include:
Procedure code detail
Annual maximums
Deductibles
Amounts already used
Benefit history
Orthodontic benefits
Plan notes
All of that information is still in your Stratus breakdown — it just doesn't get written into EagleSoft automatically. Most offices work from the breakdown in Stratus for those details and let coverage categories flow back on their own.
